Responsibilities

  • Provide administrative support to the Corporate Facilities team to ensure efficient daily office operations across multiple locations.
  • Assist with coordination of office moves, renovations, tenant improvements, and space reconfigurations, including tracking schedules, vendors, and deliverables.
  • Serve as a point of contact for routine facilities inquiries and requests, escalating issues as appropriate to Facilities leadership or external vendors.
  • Maintain accurate facilities documentation, including floor plans, vendor contacts, service agreements, inventories, and standard operating procedures.
  • Support procurement and tracking of facilities-related supplies, furniture, fixtures, and equipment; assist with purchase orders, invoices, and expense documentation.
  • Track and update internal systems and shared resources with current office information.
  • Provide backup administrative support to local Office Administrators when needed to ensure continuity of operations.

 

Qualifications

  • Working knowledge of office facilities operations, including space management, building services, and vendor coordination.
  • Basic understanding of commercial office environments, building systems, and property management processes.
  • Understanding of administrative and procurement processes, including tracking purchases, invoices, and vendor documentation.
  • Strong organizational and time-management skills, with the ability to manage multiple tasks and shifting priorities.
  • Effective written and verbal communication skills, with the ability to interact professionally with internal teams, vendors, and property managers.
  • Attention to detail and accuracy in maintaining records, schedules, and facilities documentation.
  • Ability to track requests, follow up on open items, and ensure timely resolution.
  • Customer-service mindset with a collaborative, team-oriented approach to problem solving.
  • Ability to work independently on assigned tasks while coordinating closely with Facilities.
  • leadership and cross-functional teams.

Preferred Qualifications

  • Post-secondary coursework or an associate degree in business administration, facilities management, construction administration, or a related field preferred, but not required.

 

Compensation Range

$25.00 to $30.00 per hour. This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. We may ultimately pay more or less than the posted range, and the range may be modified in the future. An employee’s pay within the salary range will be based on several factors including, but limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, and business or organizational needs.
