Responsibilities

  • Oversee daily operations of Carollo Fleet
  • Assist with Ford Vehicles Annual Discount Agreement, work with Ford Representative for yearly incentives and present agreement to Enterprise
  • Review Enterprise vehicle quotes
  • Analyze vehicles to be replaced; based on actual mileage, vehicle age, equity value, expected reliability and maintenance, safety risk, age of vehicle, etc.
  • Confirm replacement vehicles with Office/Management
  • Oversee process from order to delivery of vehicles from Enterprise
  • Oversee Ford new leased vehicle delivery to dealer/Vehicle returns
  • Administer vehicle pickups and returns; provide maintenance card, Wex fuel card, Telematics turned on, notify RMS for insurance, update Geotab website and spreadsheet
  • Coordinate additional vehicle requirements; order decals, registrations, recalls-safety notifications, vehicle sales, maintenance cards, maintenance, procedure for adding new vehicles, location movements/transport
  • Manage weekly mileage logs; send notification to employees if missing log, compile mileage for month end posting, transfer mileage/cost if needed, email logs to Geotab
  • Asset tracking entry; record liabilities for future payment of Finance leases
  • Oversee employee compliance of company vehicle policies
  • Communicate and work with multiple vendors; Ford, Enterpise, Wex Fleet, Geotab, Prolease
  • Ability to review agreements and interpret documents
  • Provide excellent customer service and business support to internal and external customers
  • Ability to listen and communicate effectively with customers and respond to common inquiries or requests
  • Posts transactions in financial system
  • Assist Accounts payable with various accounting functions

Qualifications

  • High school diploma or equivalent.
  • 5+ years’ experience working with Fleet Vehicle Program
  • Experience overseeing comprehensive fleet vehicle program
  • Knowledge of negotiating pricing, vehicle repair, title, licensing and registration
  • Familiar with Geotab, Telematics
  • Strong attention to detail and accuracy of data input
  • Demonstrate “Service Excellence” in all interactions with employees and vendors
  • Excellent written and verbal communication skills, including ability to interact effectively with all levels of management and external vendors and customers
  • Excellent organizational skills including prioritizing, scheduling, and time management
  • Accounting related experience a plus

Pay Range

$75,500 to $81,000 annually. This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. We may ultimately pay more or less than the posted range, and the range may be modified in the future. An employee’s pay within the salary range will be based on several factors including, but limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, and business or organizational needs.
